AI Use & Disclosure Policy
Summary
AI in MaxLeadPRO drafts; people decide. AI writes suggested campaign content from your verified business facts, a person approves it before it is used, and AI cannot send, publish, approve or spend on its own. Your data is not used to train AI models. You must check AI output for accuracy and must not use AI to deceive, impersonate or fake reviews.
1. How MaxLeadPRO uses AI #
- Campaign drafts. From your campaign brief, verified business facts, offers and brand rules, AI drafts social posts, emails, landing-page copy, text-message copy and follow-up plans for the slots you choose.
- Fact extraction. AI suggests business facts from text or documents you upload; you confirm each fact before it is used.
- Summaries and suggestions (where available), such as summarizing a lead’s inquiry or suggesting a reply for a person to edit.
- What AI does not do. AI has no ability to send messages, place calls, publish content, approve content, change settings or spend credits. The MaxLeadPRO phone assistant answers callers from the business’s verified facts and menu; it does not improvise answers with a generative model.
If AI is unavailable, the Service can produce drafts from templates; these are labelled “Template draft.”
2. What data AI sees, and training #
- Only the inputs needed for the task are sent to the AI model: the brief, verified facts, offer details and brand rules. Campaign generation does not include your leads’ or customers’ records.
- Our AI model providers are Anthropic, PBC (Claude models) and Google LLC (Gemini models through Google’s paid API), acting as our sub-processors in the United States. Each draft uses one of them, and the draft records which.
- No training on your data. We do not use Customer Data or Contact Data to train AI models, and our providers’ commercial API terms prohibit them from training their models on the inputs and outputs we send.
- Each draft records the model, prompt version and usage, so you can see how it was produced.
3. Human review and approval #
- Every AI draft must be reviewed and approved by a person with the right role before it is published, sent or used. Approval is tied to the exact content and destination; if either changes, approval is required again.
- Reviewers should check facts, prices, dates, offers, claims, required disclosures, tone and rights to any names, images or trademarks.
- Use the report button on any generated asset to flag a problem. Reports help us improve safeguards.
4. Accuracy and limitations #
AI can produce text that sounds right but is wrong, outdated, incomplete or similar to content produced for others. Quality checks in the Service are advisory and do not certify accuracy or legal compliance. You are responsible for approved content as if you wrote it yourself.
5. Disclosing AI to consumers #
- AI voices. If a call uses an AI-generated or synthetic voice, you need the consent described in the Communications Compliance Policy, and the call must disclose at the start that the caller is automated and identify your business.
- Chat and messaging bots. If a consumer may interact with an automated system, disclose that it is automated where the law requires — for example California law prohibits using a bot to incentivize a sale without disclosure, and Utah law requires disclosure of generative AI when asked or, in regulated occupations, up front. The phone assistant always discloses that it is automated.
- Endorsements and reviews. Do not present AI-generated content as a real customer’s review, testimonial or experience. The FTC’s rule on consumer reviews and testimonials prohibits fake or AI-generated reviews.
- Political and election content. Do not use AI Features for political advertising or election communications.
6. Prohibited uses of AI Features #
- Impersonating a real person, business or government body, or creating a synthetic voice, image or video of a real person without their written consent.
- Creating fake reviews, endorsements, testimonials, credentials, awards or statistics.
- Making false or unsubstantiated claims about health, earnings, investments, pricing, availability or results.
- Generating content that is unlawful, hateful, harassing, sexually explicit, or that exploits minors.
- Using AI to make decisions about credit, insurance, housing, employment, education or other decisions with legal or similarly significant effects on individuals.
- Attempting to extract the system prompts, bypass safety measures, or use outputs to build a competing model.
- Anything prohibited by the Acceptable Use Policy.
7. Ownership of AI output #
As between you and us, you own the content you approve, to the extent the law allows. AI output may not be protectable by copyright, and similar output may be produced for other users. We do not claim ownership of your output.
